This screen allows you to setup the alerts regarding the things you would like to notify people about.

Prerequisites

Rules and Guidelines

  • You can create, update, or delete an alert.
  • You can have as many alerts using the same template as it is needed in your business.
  • A saved alert runs overnight and sends out notifications.

This alert can notify recipients about any active employees who are having birthdays.

If an employee is notified on a day, they will not be notified again on the next day if they still meet the criteria. This avoids duplicated notifications.

Find employees in Payrun Group {Criteria.Payrun Group} whose birthday is {Criteria.Time Range}.

  • {Criteria.Payrun Group}: optional. When left blank, the alert runs against all active employees.

  • {Criteria.Time Range}: mandatory.

    • today: finds people on their birthday date

    • tomorrow: finds people 1 day before their birthday date

    • in this week: notifies every Sunday with people having birthdays from the Sunday to the Saturday

    • in next week: notifies every Sunday with people having birthdays from the next Sunday to the Saturday. New alerts setup in the middle of a week will run for the first time on the next Sunday.

    • in this month: notifies every 1st day in the month with people having birthdays in this month

    • in next month: notifies every 1st day in the month with people having birthdays in the next month. New alerts setup in the middle of a month will run for the first time on the next Day 1 of the month.

This is the equivalent to Employee Certifications Gaps template, except for that it only monitors confidential certifications.

This alert can notify recipients about any active employees who have any confidential certification gaps (i.e., Employee is required to obtain a certification but the certification is not obtained, expired, or required attachment not found) associated to them.

It can also notify people about any active employees who have not obtained a certain certification, whether required or not.

Recipients will be notified based on the {Criteria.Interval} selected as long as there is gap / missing certification detected.

This is the equivalent to Position Certifications Gaps template, except for that it only monitors confidential certifications.

This alert can notify recipients about any active employees who have any confidential certification gaps (i.e., Employee is required to obtain a certification, but the certification is not obtained, is expired, or required attachment not found) associated to them.

When {Criteria.Position} is selected, the alert notifies recipients about any confidential certification gaps for employees currently employees in this position. The confidential certification could be associated with the employee directly or via Position.

If an employee is notified on a day, they will not be notified again on the next day if they still meet the criteria. This avoids duplicated notifications.

Find employees in Payrun Group {Criteria.Payrun Group} who are required to have {Criteria.Certificate} and have a gap for position {Criteria.Position}.

This alert can notify recipients about any active employees whose Compulsory event or Optional event is due. Maintenance of the events are via Compliance Details screen.

Only Events with Expiry Date specified will be monitored.

Recommendation is set up one alert to monitor Compulsory Events and another one to monitor Optional Events.

This event will only be available when Preceda variable *PP_COMPL_DETL = Y, i.e. you have access to the Compliance Details screen.

This alert can notify recipients about any active time employees who are scheduled to work on a day but no time record is yet available for that day. Whether an employee is scheduled to work on a day is determined by this hierarchy: Standard Roster -> Individual Work Pattern -> Work Pattern -> Base Hours.

It can also notify recipients about any active time employees who have not recorded any time in a specific time range, e.g. current pay period.

It can also notify recipients about any active time employees who have recorded time but the 'hours' is zero.

If an employee is notified on a day, they will not be notified again on the next day if they still meet the criteria. This avoids duplicated notifications.

Find employees using Pay Period Rule {Criteria.Pay Period Rule} who is {Criteria.Employment Type} and who is at Day # {Criteria.Ordinal Number Of} {Criteria.Target Date} and who has {Criteria.Operator} in {Criteria.Time Range}.

  • {Criteria.Pay Period Rule}: optional. When left blank, the alert runs against all active Time employees.

  • {Criteria.Employment Type}: mandatory. Employment Type is specified in Administration > Classifications screen.

This alert can notify approvers about any new ESS Timesheets awaiting their approval. Approvals can be done via Review Time Sheets screen.

It can also notify the approver's managers and other recipients.

If an employee is notified on a day, they will not be notified again on the next day if they still meet the criteria. This avoids duplicated notifications.

Example use case:

Employee submitted a new timesheet yesterday and the manager was not able to approve on the same day. Manager will get the notification today.

Employee provided more information to an existing timesheet yesterday and the manager was not able to approve on the same day. Manager will get the notification today.

Manager will not be notified again tomorrow if nothing new for them to approve today vs. yesterday.

This alert can notify time approvers about any active time employees who have any time records awaiting their approval. Time approvers are the users who can approve time records via either Time Editor screen or Group Approval Wizard or both. Only those approvers who is linked to either a Cost Level Security Profile or a Security Profile or both will be notified.

It can also notify the approver's managers and other recipients.

System Health Check is not applicable for this template.

This alert can notify recipients about any active employees who have any visa expiring. Visa information is maintained via Visa Details screen.

If an employee is notified on a day, they will not be notified again on the next day if they still meet the criteria. This avoids duplicated notifications.

      • in this week: notifies every Sunday with people having work anniversary from the Sunday to the Saturday

    • in next week: notifies every Sunday with people having work anniversary from the next Sunday to the Saturday. New alerts setup in the middle of a week will run for the first time on the next Sunday.

    • in this month: notifies every 1st day in the month with people having work anniversary in this month

    • in next month: notifies every 1st day in the month with people having work anniversary in the next month. New alerts setup in the middle of a month will run for the first time on the next Day 1 of the month.

This field displays the description the user will see when selecting a particular template. This field can hold up to 50 characters.

Determine the criteria based on which the alert will run nightly to find the corresponding employees.

Determine the people to alert, the method to alert and the notification messages.

Tick the ones you would like this alert to notify. For an alert to be saved, must tick at least 1 from the list.

  • Employees: employees who meet the criteria. Sometimes this recipient group may take on alias names, e.g. Visa holder (in Visa Expiry), Approver (in Unapproved Time Records).

  • Managers: 1 level up report to managers of the employees defined by position. If the employee has multiple 1 level up managers, all of them will be notified; If the employee does not have 1 level up managers but higher up managers (or escalated managers), the escalated managers will not be notified.

    Delegated Managers specified in 'Workflow' will NOT receive notifications.

     

  • Administrator: selected user who has Administrator set to Y in Define Users screen.

  • Workflow Role: selected role setup in Workflow Role screen.

  • Notifications are sent to recipient’s email addresses. Will send to the personal email address if business email address is not available. Recipients may NOT receive emails if they have not registered (valid) email addresses in the product.

  • Inbox: sends an inbox message that can be accessed via both Preceda Desktop and Mobile. Recipient must be a user in Preceda to be able to receive inbox messages.

  • Single: 1 notification per 1 exception found that meets the criteria.

  • Summary: 1 summary notification if any new exceptions found that meets the criteria.

    For example:

    Employee A and Employee B both have some timesheets awaiting approval. Both report to Manager C.
